Guide for Government Employees Applying to Renew Their Passports

Dear Heads of Departments, we are writing to seek your permission to renew our current passport. This current passport expires on [dd-mm-yyyy], and we would like to ensure that it can be renewed promptly. We kindly request your approval to proceed with this application.

Before we proceed with the passport renewal process, it is essential that you are aware of the different types of passports available for government employees in Indonesia. As a government employee (PNS), we are eligible for two types of passports: Service Passports and Regular Passports. These are serviced by the Ministry of Foreign Affairs and local immigration offices respectively, each with its own unique requirements and procedures.

Types of Passports and Their Characteristics

1. Service Passports (Blue Color Passports): These are issued exclusively to non-diplomatic staff within the government. The blue color passport is only accessible to government employees and is not available to civilians.

Advantages: Designed specifically for government employees, allowing them to travel for service-related purposes with ease.

2. Regular Passports (Green Color Passports): These are ordinary passports available to everyone, including government employees who can have both types of passports concurrently.

Advantages: These are issued by local immigration offices, providing a more accessible and straightforward renewal process for all passport holders.

The Passport Renewal Process for Indonesian Government Employees

Service Passports

The process for renewing a Service Passport involves several steps:

Write a request letter to the Ministry of Foreign Affairs seeking permission to renew the passport. Arrange a courier service to deliver the expired Service Passport and the request letter to the Ministry of Foreign Affairs. Upon submission, the process typically takes 4 to 5 days to complete. After the Service Passport has been renewed, the Ministry of Foreign Affairs will contact the government employee to claim the new passport.

It is crucial that the request letter is received by the Ministry of Foreign Affairs with its seal and signature from the relevant recipient.

Regular Passports

The process for renewing a Regular Passport is simpler and follows the standard rules for all passport holders:

Visit the local immigration office that issued the original passport. Have the passport renewed there, following the standard procedures.

It is important to note that both types of passports can be obtained by government employees, allowing them the flexibility to choose the most suitable type for their needs.

Conclusion

We value the trust and support of our Heads of Departments. With your permission, we will proceed with the necessary steps to ensure that our passport is renewed on time. If you have any further questions or require additional information, please do not hesitate to contact us.

Thank you for your understanding and cooperation.

Yours sincerely,
